Privacy Policy

What data we collect

Only what you give us through the contact form, or when you email or message us on WhatsApp:

• Name.
• Company or project (optional).
• Email address.
• The service line you are interested in and your message.

To stop automated submissions, the server uses your IP address temporarily, in memory, for a few minutes; we do not store it in any database. Our hosting provider may log technical access data (IP, browser, date) for security, like any web server.

We do not ask for sensitive data (health, ethnic origin, political or religious views, biometric data) or data about minors. Please do not include it in your message.

Why we use it

• To reply to your message and prepare the proposal or quote you asked for.
• To follow up on that request and, if we work together, manage the business relationship (contracts, invoicing, support).
• To meet legal, accounting and tax obligations.
• To protect the site against abuse, fraud and automated submissions.

We do not sell or rent your data. We will not send you newsletters or mass advertising without a separate, additional consent that you can withdraw at any time.

Consent

Before you send the form, we ask for your prior, express and informed consent by ticking the checkbox; without it the message is not sent. We keep a record of your consent (date and time) with your message. If you email or message us directly, we understand you authorize us to use your data to reply, under this policy.

Who we share it with

Your data is seen only by the HCUBED team members handling your request. To operate, we use these providers, who act as data processors and only process data on our behalf:

• Vercel Inc. (United States): hosting for the site and the server that receives the form.
• Resend (United States): delivery of the email that brings us your message.
• Our email provider, where we receive and answer messages sent to contacto@hcubed.co.

Because these providers are outside Colombia, your data is transferred internationally. We chose them because they apply recognized security and confidentiality standards, and by giving your consent you accept this transfer. We would only hand your data to an authority when required by law or court order.

Your rights

As the data subject you have the right to:

• Access, update and correct your data.
• Request proof of the consent you gave us.
• Know how we have used your data.
• Withdraw your consent and ask us to delete your data, unless a legal or contractual duty requires us to keep it.
• Access your data free of charge.
• File a complaint with the Colombian data protection authority (Superintendencia de Industria y Comercio, SIC) after first contacting us.

How to exercise your rights

Email contacto@hcubed.co with the subject "Personal data". Include your name, the email or phone you contacted us with, what you need and, for a complaint, the facts and any supporting documents. We may ask you to confirm your identity before sharing or changing information.

• Requests for information: we reply within 10 business days of receipt. If we need more time, we will tell you why and reply within the following 5 business days.
• Complaints (correction, update, deletion or withdrawal of consent): we reply within 15 business days from the day after receipt; if we need more time, we will tell you and reply within the following 8 business days. If a complaint is incomplete, we will ask for what is missing within 5 days; if 2 months pass without an answer, the complaint is considered withdrawn.

These requests are handled by the administrative team of HCUBED S.A.S., at the same email address.

How long we keep it

We keep your data as long as needed to handle your request and, if we work together, for the duration of the business relationship and the time required by accounting, tax and commercial rules. If your request does not lead to a project, we delete your data when we no longer need it, or sooner if you ask.

How we protect it

The whole site runs over HTTPS, the form validates and limits the data it receives, access to messages is restricted to the team handling them, and our service keys are never published on the site. No system is infallible: if we detect an incident affecting your data, we will inform you and report it to the SIC as required by law.

Cookies and analytics

hcubed.co does not use cookies, analytics tools or advertising pixels, and does not store information in your browser. If we add any in the future, we will update this policy and, where the law requires it, ask for your consent before enabling them.

If you are outside Colombia

We work with clients in Colombia, Chile and Canada. If you contact us from another country, we handle your data with the same care described here and respect the equivalent rights granted by your local law (for example, Law 19.628 in Chile or PIPEDA in Canada). You can exercise them through the same channel.

Changes to this policy

If we change something important (for example, a new purpose or a new provider), we will publish it on this page with its new effective date and, if the change affects the purpose you consented to, we will ask for your consent again.
